How Little Lion Entertainment Transformed Guest Safety, Efficiency, and Marketing with WaiverSign

About Little Lion Entertainment

Little Lion Entertainment is the UK’s premier immersive attractions company, known for creating unforgettable, interactive experiences that put guests at the center of the action. Since launching The Crystal Maze LIVE Experience in 2016, they’ve expanded across the UK, launched a Middle East franchise, and introduced groundbreaking attractions like Chaos Karts, a live-action augmented reality racing experience, and the upcoming PAC-MAN LIVE EXPERIENCE in collaboration with Bandai Namco Entertainment.

With over 230 team members and millions of guests welcomed, their experiences range from physical and skill-based challenges to fully interactive, video game-inspired adventures. Forty percent of their business comes from large corporate groups, making smooth operations, safety, and guest engagement critical to their success.

The Challenge

For most of its history, Little Lion Entertainment relied on paper waivers.

“We have boxes and boxes and boxes of waivers,” recalls Joe Ingram, Operations Director. “If we ever needed to locate one, it was a real challenge.”

Paper wasn’t their only issue. Over time, the company experimented with a mix of waiver systems across locations — some sites still using paper, others on outdated online tools.

“If I went to the Crystal Maze in London, our team couldn’t always tell you who within a group had signed a waiver because they didn’t have that visibility,” Joe explained.

This created operational headaches and slowed down the guest experience. And because they only collected the lead booker’s details, their marketing reach was limited.

“We could speak to the person booking a corporate event of 60 to 100 people, but we couldn’t reach any of the others,” says Joe. “That meant we were missing opportunities to connect with thousands of guests every month.”

Beyond the marketing challenge, the administrative workload was staggering. Staff were spending hundreds of hours every month printing, filing, scanning, and searching for waivers.

“When we were at our most analog, we were talking about hundreds of hours in a month just managing the waiver process.”

The Solution

When Little Lion Entertainment began searching for a better waiver system, they knew exactly what was needed: scalability across multiple attractions, customizable branding, easy access to guest data, and clear user permissions for site-specific teams.

“It was actually a bit of a Google search,” Joe explained. “We tried out a bunch of different systems, but WaiverSign was the one that ticked all the boxes.”

The setup was quick and straightforward.

“We sent our existing waivers to the team, they built them out, and we were ready to go. We launched first at Chaos Karts in Manchester, and it went so smoothly that we quickly rolled it out across our Crystal Maze sites in London and Manchester.”

From day one, WaiverSign began solving their operational and marketing challenges.

“Now we can proactively reach out to every member of a booking, not just the lead booker. That’s been a huge win for our CRM campaigns.”

The Results

1. Significant Time Savings
Switching to WaiverSign has freed up hundreds of staff hours every month.

“We’ve gone from scanning and filing paper to having everything accessible instantly,” Joe says. “It’s hundreds of hours saved each month.”

2. Faster Incident Response
When first aid or insurance needs arise, staff can locate waivers in seconds.

“I can literally log in within two seconds, look at waivers across any of our sites, and pull that information immediately. Before, it was like finding a needle in a haystack.”

3. Expanded Marketing Reach
Capturing every participant’s details has opened up new revenue and engagement opportunities.

“We’re now able to speak to every guest that visited, rather than just a small percentage.”

4. Seamless Multi-Site Management
User permissions and location toggling make managing multiple attractions simple.

“Being able to toggle between sites and set user permissions was a game changer for us.”

Why They Recommend WaiverSign

Joe’s recommendation is simple:

“If you want to know everything about your guests, communicate with them, and maintain safety while keeping it fun, WaiverSign is a must. For the first 18 months I worked here, every week there was another headache with waivers. Now, 18 months later, we don’t even think about it — which is ideal.”

And the reliability has been equally important.

“We haven’t had to reach out to support much, which is the best sign for me. Tens of thousands of waivers have been signed without downtime or access issues. That’s a testament to the product.”

As Little Lion Entertainment continues to grow, WaiverSign will grow with them.

“We were always concerned about being able to easily access multiple sites within one system. WaiverSign gave us that. It’s been a game changer in how we operate and how we’ll continue to expand.”
